The Challenge:
Ferrati Sports, a sports operations and manufacturing business, needed to scale their B2B outreach to connect with brand owners and activewear CEOs. However, they faced a critical bottleneck: scaling “human” conversations. While sending emails was manageable, managing the influx of replies effectively was not.
- Disconnected Context: Standard automation tools couldn’t “remember” previous interactions, making follow-ups feel robotic or disjointed.
- Manual Reply Overload: The sales team was overwhelmed by sorting through Out-of-Office (OOO) replies, “not interested” responses, and genuine leads.
- High Personalization Needs: They needed a system that could not only send the first email but also carry on a coherent conversation based on the specific context of that thread.
They required a fully autonomous, closed-loop sales engine that could handle the entire lifecycle—from finding the lead to negotiating the reply—without losing the conversational thread.
How We Managed It:
We engineered a comprehensive n8n orchestration pipeline that integrates lead generation with a sophisticated AI Reply Agent capable of maintaining long-term conversational memory.
- Automated Lead Enrichment & Icebreakers: We built a workflow that pulls leads from Apollo.io and triggers a custom scraper to visit prospect websites. An AI agent analyzes the site content (products, descriptions) to generate highly technical, personalized icebreakers (e.g., commenting on specific fabric specifications), ensuring high open rates.
- Context-Aware AI Reply Agent: Unlike standard auto-responders, we implemented a Postgres Chat Memory system within the workflow.
- Full Thread History: The agent checks all inboxes every 5 minutes. When a reply is detected, it retrieves the entire conversation history (what we sent, what they replied) from the database.
- Intelligent Logic: It uses this context to draft a relevant response. If a user asks a specific question about manufacturing capacity, the AI answers it directly based on the history, rather than sending a generic follow-up.
- Smart Status Classification: We utilized a Switch Node logic to automatically categorize incoming emails. The system reads the intent of the prospect’s reply and routes it accordingly:
- Interested: Marks the lead as “Hot” and notifies the sales team.
- Not Interested/OOO: Automatically updates the status in the database and stops the campaign, keeping the CRM clean without human intervention.
The Results:
The system transformed Ferrati Sports’ outreach from a manual grind into a self-driving revenue engine.
